# Workspace settings

Every tab of Settings for a workspace member. Name and goal, appearance, public sharing, the danger zone, Jason memory, workspace files, retention, billing and Jason emails.

**Settings** is at the bottom of the sidebar (signed-in users only) and at `/settings`. It belongs to the current workspace; switch workspace to change another one’s settings. The page is headed **Settings — Manage your workspace, people, and collection.**

Above the heading sit two things you can edit directly:

*   **The workspace icon.** Click it to open **Choose Icon** (see [Icon](https://www.jsonify.com/docs/workspace/settings#icon)).
*   **The workspace name.** Click the name to edit it in place. Enter saves, Escape reverts.

Settings opens on General. Tabs run across the top; sub-sections sit under each tab.

The tabs, in the order shown:

| Tab | What it holds |
| --- | --- |
| General | Workspace name, Appearance, Sharing, Danger Zone |
| Team | Members and invitations for the organisation. See Team. |
| Content | Jason Memory, Workspace Files, Data Retention |
| Billing & Usage | Usage, the monthly cap, billing details and history. See Billing and usage. |
| Jason Emails | Discoveries and the Allowlist for the workspace’s Jason address |

Each tab’s address is bookmarkable, for example `/settings?tab=content&section=memory`.

## General

### Workspace name

Headed **Workspace details — Choose how this workspace is named and described.**

| Option | Values | Default | What it does |
| --- | --- | --- | --- |
| Name | text | The name from setup | Shown in the switcher, breadcrumbs, browser tab and the workspace list. Renaming updates the address bar slug but not the workspace’s Jason email address. |
| Goal | text, a few lines | The goal from setup, or empty | Answers “What are you trying to achieve with this workspace?”. Jason reads it in every chat and Home’s suggested tasks are grounded in it. |

**Save Changes** enables once either field differs from what is stored.

> Write the goal for a colleague who has never seen the workspace. “Daily UK grocery prices for our 120 own-brand equivalents; feed the pricing dashboard and alert on moves over 5%” tells Jason what matters.

### Appearance

Headed **Theme — Choose how Jsonify looks on this device.** One choice from three cards:

| Option | What it does |
| --- | --- |
| Light | Always use the light appearance. |
| Dark | Always use the dark appearance. |
| System | Match this device automatically. This is the default. |

The choice is stored on this device, not with the workspace. The theme toggle in the breadcrumb bar (moon or sun icon) flips between light and dark without opening Settings.

### Sharing

Headed **Public sharing — Choose exactly which resources appear in a public, read-only share.** A share is one public page, reachable by anyone with the link, showing the resources you pick as tabs.

*   No share yet: **Set up share**.
*   Share live: **Sharing is live. Edit the resource tabs, their order, or disable the link.** and **Edit share**.

The **Share workspace** dialog (titled **Edit share** once live):

1.  **Pick resources** on the left. Search with **Search resources**; groups are **Pipelines**, **Datasets**, **Dashboards**, **Newsletters**, **Alert rules** and **Integrations**, each with **Load more**. A greyed row says why it cannot be shared, for example **Publish this pipeline with a Statement of Work first.**
2.  **Order the tabs** on the right under **Shared tabs**. Drag to set the public tab order. Up to 100 tabs.
3.  **Publish share.** The public link appears with **Copy**, and the page opens. Later edits use **Save changes**.

**Disable** in the dialog footer turns the link off; existing links stop resolving. The same dialog opens from **Share workspace** in the breadcrumb bar on every page. Sharing a single dataset is covered on [Sharing](https://www.jsonify.com/docs/datasets/sharing).

### Danger Zone

**Move to another organisation** appears only if you belong to more than one organisation. Choose a **Destination organisation** and press **Move workspace**. The workspace, its pipelines, datasets and runs move together; past billing stays with the current organisation and future usage bills to the new one. Members of the current organisation lose access, and you are switched across with it.

**Delete this workspace** permanently deletes the workspace and all its pipelines, datasets, and dashboards. Type the workspace name exactly as shown (it is case-sensitive) to enable **Delete Workspace**.

> Deletion is immediate and cannot be undone. There is no archived state and no recovery. Export datasets you want to keep first. See [Workspaces](https://www.jsonify.com/docs/getting-started/workspaces#deleting-a-workspace).

## Icon

Clicking the icon in the Settings header opens **Choose Icon** with four tabs. Every tab shows **Remove icon** when one is set.

| Tab | What it does |
| --- | --- |
| Icons | Search a library of icons (Search icons…); a grid of 160 at a time with Show more. Click one to use it. |
| Generate | Describe the icon you want (up to 500 characters; the workspace name is pre-filled), press Generate, preview it, then Use icon or Generate again. |
| Upload | Choose image: SVG, PNG, JPG or WebP up to 1 MB. |
| From URL | Enter a website address and press Use to take its favicon. |

The icon shows in the switcher, the breadcrumb bar, the workspace list and the browser tab.

## Team

Membership is per organisation, not per workspace. Everything on this tab — inviting, pending invitations, removing — is documented on [Team](https://www.jsonify.com/docs/workspace/team).

## Content

Three sub-sections: **Jason Memory**, **Workspace Files** and **Data Retention**.

### Jason Memory

Headed **Jason memory — Used by Jason in every chat in this workspace. Everyone in the workspace can view and edit it.** The memory is one shared text that Jason reads at the start of every turn, in every chat. Keep lasting preferences and useful context here, or ask Jason to remember them in chat. Avoid passwords and temporary task notes.

| Option | Values | Default | What it does |
| --- | --- | --- | --- |
| Workspace memory | text, up to 16,000 characters | empty (No memory saved yet) | The text Jason is given. The placeholder suggests the shape: “Report prices in EUR. Focus on UK retailers. Keep weekly reports short and highlight changes.” |

**Save memory** enables when the draft differs from the saved text. The line under the box reads **Revision n · Edited by name · date**, and a counter shows **n / 16,000 characters**. After saving: **Memory saved. Jason will use it on the next message in every chat.**

Every save is a numbered revision. **Revision history** lists them (20 at a time, **Older revisions** for more) with who saved and why; click one to preview it and **Use this revision in editor**, then save to restore it.

If someone else, or Jason, saved between your load and your save, an amber panel reads **Your draft is safe. Compare it with the latest memory before saving.** and shows the latest text. **I’ve compared — keep my draft** loads the new revision number so you can reconcile and save.

> Jason updates the memory itself when you ask it to remember, correct or forget something durable. Those edits appear in the history with Jason’s reason, and in the chat as **Update workspace memory**.

### Workspace Files

Headed **Workspace files — n files · Specs, data files, and chat attachments available to Jason and your pipelines.** Files you attach in chats land here, and you can add more with **Add files** (**Add workspace files**: drop files, paste a URL, or paste text).

Each file card shows a type icon, the name, size and type, a row count for tables, when it was added, and a **Role** you can change:

| Role | Use it for |
| --- | --- |
| Spec / SOW | Briefs, requirement documents, examples of the output you want. The default for files added here. |
| Data | Product lists, URL lists, lookup tables a pipeline may read. |
| Reference | Anything else Jason may consult. |

The list has a search box (**Search files…**), a **Role** filter with counts, and sort by **Newest First**, **Name** or **File Size**. Each card’s menu offers **Preview**, **Download** and **Delete**; select several for a bulk **Delete**. Empty state: **No files yet — Add specs, reference material, or data files for Jason and your pipelines to use.**

### Data Retention

A read-only view of the workspace’s retention policy: **Automatic deletion is disabled.** or the number of days, plus the list of items due for deletion in the next 30 days. ## Billing & Usage

## Jason Emails

Two sub-sections: **Discoveries** and **Allowlist**.

### Discoveries

Headed **Daily discoveries — Jason checks your workspace once a day and only emails when there’s something worth sharing. Most days, he’ll stay quiet.**

| Option | Values | Default | What it does |
| --- | --- | --- | --- |
| Recipient checkboxes | one per organisation member, up to 20 selected | none selected (Discoveries are off) | Everyone selected gets one shared email when Jason finds something worth reporting; replies continue the same conversation. With no one selected, Jason does not run the daily check. |

Changes save as you tick. The footer reads **n selected · One shared scan and email**. Long member lists load with **Load more members**. Discoveries are off by default and need the workspace to be live with billing access; most days produce no email.

### Allowlist

Shown once the workspace has its Jason address. The card **Email Jason** shows the address as a mailto link: organisation members can start a conversation by sending to it, and replies stay in the same conversation. See [Jason by email](https://www.jsonify.com/docs/jason/chat#jason-by-email).

| Option | Values | Default | What it does |
| --- | --- | --- | --- |
| Outbound email allowlist | addresses or exact domains, one per line, up to 100 | empty | Who Jason may email besides organisation members. Organisation members are always allowed. Domains do not include their subdomains. |

**Save email allowlist** enables when the list changes. Invalid entries are rejected with the offending value.

> Jason only acts on inbound mail from current organisation members with a verified sender domain. The allowlist governs who Jason can write to, not who can write to Jason.
