# Sharing a workspace

Give anyone with a link read-only access to a whole workspace, optionally behind a password. What visitors see, how they ask Jason, what they can export, and how to revoke access.

A workspace is private to its organisation until you turn on link access. Then anyone with the link can open a read-only copy of the workspace, browse its datasets, dashboards and pipelines, export data and ask Jason questions about it. Visitors do not need an account, and they cannot change anything.

Sharing covers the whole workspace. You do not pick individual datasets or dashboards: everything that is ready is included, and new content appears on the shared page as soon as it exists.

1.  **Turn on**Anyone with the link
2.  **Copy link**optional password
3.  **Visitors browse**read-only, can ask Jason
4.  **Reset or turn off**old link stops working

## Opening the share dialog

Two ways in:

*   **The share icon** in the top bar of any page, next to the theme toggle. Its tooltip reads **Share workspace**.
*   **Settings → General → Sharing.** The **Public sharing** card reads **Private workspace. Only your team can access it.** with **Set up share**, or **Anyone with the link can view and ask Jason read-only questions.** with **Edit share**.

Both open the same dialog, titled **Share** followed by the workspace name.

Link access is on. The link is ready to copy.

## The share dialog

Options in the order the dialog shows them:

| Option | Values | Default | What it does |
| --- | --- | --- | --- |
| General access | Private workspace, Anyone with the link | Private workspace | Private: only organisation members can open the workspace. Anyone with the link: the link opens a read-only view with no sign-in. The line underneath reads Only your team can access this workspace. or Anyone can view and ask Jason questions. No sign-in required. |
| Require a password | on or off | off | Shown once access is set to the link. Visitors must enter the password before they see anything. |
| Password | 8 to 256 characters | empty | Shown when Require a password is ticked. Once a password is set, the field reads Leave blank to keep current password. |
| Shared link | read-only | — | The link, shown after link access has been saved. Copy link copies it and confirms Link copied. |
| Reset link and revoke existing access | button | — | Replaces the link with a new one. See Revoking access. |

With link access selected, the dialog also explains what is shared: **Shares include datasets, dashboards, published pipeline descriptions and conversations. New content appears automatically. Visitors cannot make changes.**

The footer has **Done**, which closes the dialog without saving, and **Save**, which applies the change and shows **Sharing updated**. **Save** stays disabled while a new password is shorter than 8 characters.

## Turning on link access

1.  **Open the share dialog** from the top bar or from **Settings → General → Sharing**.
2.  **Set General access to Anyone with the link.**
3.  **Add a password if you want one.** Tick **Require a password** and type at least 8 characters.
4.  **Press Save.** The shared link appears.
5.  **Copy the link** and send it to the people who should see the workspace.

The link has the form `/share/` followed by a random 24-character token. It is not listed anywhere, so only people who have the link will find it.

> Anyone who has the link can open the workspace, and a link can be forwarded. For anything sensitive, set a password and send it separately. There is no list of who has opened the link.

## What is included

Visitors see the workspace as it is now. You do not choose items, and nothing needs publishing again when the data changes.

| Included | Details |
| --- | --- |
| Datasets | Every dataset that is ready, showing its active version. A dataset that is still building appears once it has a version. |
| Pipelines | Every pipeline that has a published version: its description, the diagram of its steps and its schedule. Runs, settings and inputs are not shown. |
| Dashboards | Every dashboard, read-only, calculated from the current data when the visitor opens it. |
| Files | Files a pipeline produced, from that pipeline’s page. |
| Conversations | The workspace’s conversations with Jason, read-only, including the team’s own chats. Archived conversations are not listed. |

Not included: alert rules, integrations, credentials, workspace settings, Jason memory, workspace files you uploaded, runs and older dataset versions.

> Conversations are part of the share. If a chat contains something visitors should not read, archive it before you turn on link access. See [Chatting with Jason](https://www.jsonify.com/docs/jason/chat).

## What visitors see

The shared page reuses the workspace layout, in read-only form.

*   **The banner.** Across the top: **You’re viewing a shared workspace in** your organisation’s name, followed by **You have read-only access.**
*   **The sidebar.** **Ask Jason** starts a new chat. Below it are the workspace’s sidebar sections. If you have customised the sidebar, visitors see your sections, labels and order, without **Latest runs**, **Integrations** or anything you have hidden. Otherwise they see **Conversations**, then **Data collection**, **Dashboards** and **Datasets**. A section with more than five items shows **View all (n)**. The sidebar can be collapsed to icons.
*   **Home.** **Shared with you** above the workspace name and tagline, a box headed **Ask Jason about this workspace**, and four suggested questions: **Summarize this workspace**, **What data is available?**, **Explain the pipelines** and **What are the latest outputs?**

### Pipelines

A pipeline opens on **How it works**: the pipeline’s name and summary, **Pipeline steps** (the diagram of its steps) and **Schedule**. After that, a **Produces:** label is followed by one tab for each dashboard, dataset and file the pipeline produces. Each tab opens that output in place.

### Datasets

A dataset shows its active version in the same grid the team uses: worksheet tabs, paging, search and sorting. Click a row to open its detail, with the row’s provenance, the page it came from and screenshots. Visitors can check any value against its source. ### Dashboards

A dashboard shows the same cards as in the workspace, calculated from the current data. Visitors cannot edit it.

## Exports

Opened from the sidebar or the **Pipelines and datasets** list, a dataset has three export buttons in its toolbar:

| Button | What it downloads |
| --- | --- |
| Export Excel workbook | Every worksheet of the active version, one sheet each. |
| Export CSV | The worksheet on screen. |
| Export JSON | The worksheet on screen. |

While an export is being prepared, the buttons read **Preparing…**. Exports always come from the active version. A dataset opened from a pipeline’s **Produces:** tab shows the grid without export buttons.

## Asking Jason as a visitor

Visitors can ask Jason about the workspace from **Ask Jason**, from the box on the home page, or from a suggested question. Each question starts a new chat named **Guest**.

Jason answers from what the share includes: dataset rows, dashboards, pipeline descriptions and conversations. In a visitor chat Jason cannot change the workspace, run pipelines, send messages, browse other websites or use credentials. If a visitor asks for any of that, Jason explains that it only has read-only access.

*   **Conversations** in the sidebar lists the workspace’s chats, newest first, headed **Chats about this shared workspace**, with **New chat**.
*   A visitor can only write in their own Guest chats. Every other conversation opens read-only with **This shared conversation is read-only. Start a new chat to ask Jason a question.**
*   Guest chats also appear in the team’s own conversation list, named **Guest**, so you can read what visitors asked.
*   Attachments are not available in visitor chats. A question can be up to 8,000 characters.

### 12-hour access

A visitor’s access lasts 12 hours on that browser. After that, a password-protected share asks for the password again. Each Guest chat also takes questions for 12 hours from when it started; after that it stays readable but read-only, and **New chat** starts another.

## Password-protected shares

With a password set, the link opens a page headed **This workspace is protected**: **Enter the password to view and ask Jason questions.** and **Continue**. A wrong password shows **Incorrect password**. After the right password, the visitor has 12 hours of access on that browser.

To change the password, open the dialog, type a new one and press **Save**. To remove it, untick **Require a password** and press **Save**. Changing or removing the password ends every visitor’s current access; the link itself stays the same.

## Opening your own share

Members of the organisation can open the link too. They skip the password and see the same read-only page, and the banner adds **Back to workspace**, which returns to the normal workspace.

## Revoking access

| To | Do this | Effect |
| --- | --- | --- |
| Replace the link | Reset link and revoke existing access | A new link is created at once. The old link returns a not-found page, and visitors’ Guest chats become read-only. |
| Turn sharing off | Set General access to Private workspace and press Save | The link stops working for everyone and any password is cleared. Turning link access on again later creates a new link. |
| End visitors’ sessions but keep the link | Change or remove the password and press Save | Current visitors have to open the link again (and enter the new password, if one is set). |

## Limits

Limits apply per link and per visitor’s network address unless stated:

| Limit | Value |
| --- | --- |
| Page and data requests | 120 a minute |
| Password attempts | 10 a minute |
| Exports | 10 an hour |
| New Guest chats | 10 an hour |
| Questions to Jason | 30 an hour per visitor, and 100 an hour across all visitors to the workspace |

When a limit is reached, the page shows **Too many requests**, or for questions to Jason, **This shared workspace has reached its hourly Jason limit**. The limits reset on their own. Sharing is for people reading the workspace. ## Troubleshooting

*   **The link shows a not-found page.** Link access was turned off or the link was reset. Copy the current link from the share dialog.
*   **A dataset is missing.** Only ready datasets are shared. A dataset appears once its first version is published.
*   **A pipeline is missing.** Only pipelines with a published version are shared.
*   **A visitor cannot type in a chat.** It is someone else’s conversation, or their 12 hours have passed, or the link was reset. **New chat** starts a fresh one.
*   **Visitors were asked for the password again.** The password was changed or removed, or their 12 hours have passed.
